Media Accreditation / Press Registration

CAHR 2012 welcomes coverage by the mainstream media and the medical media. Media passes will be made available at the discretion of the Conference Organizing Committee. If you are interested in obtaining a media pass, please forward:

  • your name,
  • credentials,
  • affiliation,
  • photo identification (preferably one that includes your media credentials)
  • a description of your interest in the Meeting on official letterhead to:

The Conference Secretariat will respond to all inquiries; however only those approved will be provided a media pass.

Once approved, media passes will be available for pickup onsite at the Conference registration desk. Please note that media passes will allow access to all sessions, including the Opening Ceremonies and Opening Reception, but do not include a delegate bag or meals. All media passes are non-transferable.

If you wish to speak with a Representative of CAHR 2012 onsite please request this at the Registration Desk and a CAHR 2012 Representative will be located for you.

Notes:

1) The registration fee is determined by when payment is received, and not the date on which your registration is submitted.

2) There are no daily attendance fees for any of the categories.

HIV Community Member

All fees are in Canadian dollars.

Registration fees include all Scientific Sessions, Industry-sponsored Symposia, the Welcome Reception, Poster Sessions and access to the Exhibit Area.

Registration fees do not include: 1) attendance at the Saturday Night Gala Party, 2) CME Credits, or 3) attendance at the New HIV Researcher Workshop. Purchase tickets for the Gala Party, the CME Credits and/or attendance at the New HIV Researcher Workshop during the online registration process.

Student, Fellow and Trainee Rate

Proof of student, fellowship or trainee status is required to confirm this rate. Proof consists of a copy of your student ID or a letter from your institution's Registrar verifying student, fellowship, or trainee status.

New Researcher Rate

You must be a recent graduate (within the past 5 years) and either (a) be registered for the CAHR 2012 New HIV Researcher Workshop, or (b) have attended the Workshop in 2011 or 2010.

HIV Community Member Rate

The HIV Community Member Rate is only applicable to people who are personally affected by HIV/AIDS. No documentation is required to secure this rate.

CME Credits

If you wish to receive CME credits, select the CME Credits box when you are registering. If you have already registered and would like to add CME Credits, you may do so by logging back into your account (the login box is located on the right hand side at the top of this page) and selecting the CME Credits box.

The cost for CME Credits is $25.

Payment, Confirmation and Receipt

The registration fee category is determined by when the payment is received, and is due in Canadian dollars.

A confirmation email will be sent shortly after you register. If you submit payment by credit card, a receipt will be included. If you wish to pay by cheque or bank/wire transfer, an invoice will be sent to you via email. Once payment has been received, a receipt will be sent.

Methods of Payment

Cheque, Bank or Wire Transfer
If you are paying by cheque, include the name of the registrant on the cheque and make the cheque payable to “CAHR 2012 c/o Sea to Sky Meeting Management Inc.” The payment address is at the bottom of this page. Funds are due in Canadian dollars and must be drawn from a Canadian bank. A receipt will be sent to the email address provided during the registration process, once payment has been received.

If you wish to pay by bank or wire transfer, contact Glenda Freeman via email at register@cahr-conference-acrv.ca, for bank details. When processing the bank or wire transfer please note “CAHR 2012” as a reference on the bank or wire transfer with the name of the person registering stated on the transfer.

Credit Card - Visa and Master Card
If paying by credit card, Sea to Sky Meeting Management Inc. will appear as the vendor on your credit card statement.

Conference Registration Cancellations, Refunds and Substitution Policy

Refunds will be available until Friday, March 9, 2012 and will be subject to a cancellation fee of $100 per person for all registration categories, except the HIV Community Member category, where a cancellation fee of $50 will apply.

As of Saturday, March 10, 2012 no refunds will be provided, however substitutions can be made until Friday, April 6, 2012. All cancellations or substitutions must be submitted in writing to Sea to Sky Meeting Management at register@cahr-conference-acrv.ca or by fax at 1-604-984-6434.

Registrations for the Conference must be paid in full by Friday, March 23, 2012. After that date, registrations that have not been paid in full will be cancelled. Registrations made after that date will only be accepted if paid in full while registering onsite.

The Conference reserves the right to close registration due to limited capacity. The Conference will provide as much advance notice as possible on the closure of registration. If you are planning to register as a participant at the Conference, please take the limited capacity into account.

Presenting and "Publish Only" Authors must register to attend CAHR 2012. If you are not registered by the Presenting Author registration deadline of Wednesday, March 7, 2012, your abstract may not be included in the final program.

Wheelchair Access and Special Assistance

All Conference venues are wheelchair accessible. If you require special assistance for any reason, please include your requirements during the registration process and confirm any details with the Conference Secretariat.

Dietary Requests

Please identify any dietary requirements during the registration process so that we can make arrangements in advance for your registered food and beverage events.
